In the “Availability” section in ETG’s Extranet mobile app, you can manage room rates and restrictions. You can read about working with availability and prices on the website in this article.
This article is for properties rented as a whole unit without being separated into rooms, bedspaces, or suites. Instructions for properties with room inventory can be found here.
Please note: If you are working with a channel manager, you need to set up synchronization to fill and update availability and pricing data (this is explained in more detail in a separate article).
If unique rates or properties are set up in ETG’s Extranet and are not sold on other platforms, or if you do not use a channel manager, the data in the “Rates and availability” section must be entered manually.
How to navigate the section
First screen and tabs
On the first screen in the “Availability” section, all the properties you manage are displayed. After selecting a property, a screen with a calendar and tabs “Rates” and “Restrictions” will open.
Calendar
The calendar is visible in all tabs, but it reflects different information in each. In the “Rates” tab, it is convenient to track and manage prices for specific dates, and in the “Restrictions” tab, you can easily set or disable restrictions.
What the colors and icons in the calendar mean
In each tab, you will see a question mark in the lower-right corner. Clicking it opens a tooltip that explains the colors and icons, helping you quickly navigate the calendar.
In the “Rates” tab:
The number under the date indicates the price per night for the selected number of guests.
White cells — the selected rate is not valid for the date.
Green cells — accommodation is for sale at the selected rate, and the date is open for booking.
Red cells — accommodation is not for sale at the selected rate, and the date is closed for manual bookings.
Gray cells — accommodation is not for sale at the selected rate, and the date is unavailable for booking because it is occupied.
Gray cells and a dash under the date — accommodation is not for sale at the selected rate because the price for the number of guests is not specified.
In the “Restrictions” tab
A lock symbol under the date indicates that a restriction is applied, for example, a minimum number of nights for booking.
Please note: Above the calendar, you can select a rate or special offer — this will determine which restrictions the system will display. If a rate is selected, restrictions for that rate will appear; if a special offer is selected, restrictions for that special offer will be shown.
How to switch between rates
Go to the “Availability” section and select the desired tab: “Rates” or “Restrictions.”
Click on the rate in the block between the tabs and the calendar.
Select the rate or special offer you are interested in by ticking the box → click “Apply.” The list will close, and the calendar will display the relevant information.
How to open or close accommodation for sale
Go to the “Availability” section and open the “Rates” tab.
Select the date or period on the calendar → click “Edit.”
Find the “Room status” block → move the toggle to the right for “Open” or to the left for “Closed” → click “Save.” Cells with open availability will turn green, and cells with closed availability will turn red.
How to open or close a rate or special offer for sale
Go to the “Availability” section and open the “Rates” tab.
Select the date or period on the calendar → click “Edit.”
Find the desired rate or special offer in the “Rates and prices” block → move the toggle next to it to the right to open sales or to the left to close them → click “Save” at the bottom of the window.
Cells for dates will turn green when the room is for sale at the selected rate or red when it is not. If all toggles are moved to the left, the room will be completely removed from sale for the selected dates.
Note: Changes to the main rate do not affect special offers. To open or close sales for special offers, you need to move the toggle for each of them.
How to change prices
Go to the “Availability” section and open the “Rates” tab.
Select the date or period on the calendar → click “Edit.”
In the “Rates and prices” block, check all price settings for different numbers of guests → enter the required values in the price fields → click “Save.” Prices will change in the cells under the selected dates.
Note: If you change the price for the main rate, prices for related special offers will be recalculated and updated automatically. You cannot change the price for a special offer separately.
How to view prices for different numbers of guests
Go to the “Availability” section and open the “Rates” tab.
Select and click on the desired number of guests above the calendar — the current price will be displayed in the cells.
How to work with restrictions
How to set restrictions
Go to the “Availability” section and open the “Restrictions” tab.
Click on the date or select the period in the calendar → in the opened window under each rate and special offer, you will see “Restrictions” → click “Configure” in the appropriate block.
Move the toggles to the desired position and enter values for the restrictions you want to change → click “Save.” Cells with dates with restrictions will show a lock symbol.
How to disable restrictions
Go to the “Availability” section and open the “Restrictions” tab.
Click on the date or select the period in the calendar → in the opened window under each rate and special offer, you will see “Restrictions” → click “Configure” in the appropriate block.
Move the toggles to the left or remove values for the restrictions you want to disable → click “Save.” You can disable all restrictions at once by clicking the “Reset all” button in the upper left corner. Cells for dates without restrictions will show no lock symbol.
Note: If you disable all restrictions for a special offer, the restriction settings from the parent rate will automatically apply.
Types of restrictions
Check-in not allowed — the guest will not be able to book a stay for check-in on this date.
Check-out not allowed — the guest will not be able to book a stay for check-out on this date.
Stay — minimum and maximum number of nights, if the booking dates overlap with the selected day.
Stay: Check-in date — minimum and maximum number of nights if the check-in date coincides with the selected day.
Sales start — the guest can book only up to N hours or days before 12 AM on the check-in day.
Sales end — sales are closed if fewer than N hours or days remain before 12 AM on the check-in day.
